Elements Society is a registered charity based in North Vancouver, British Columbia. We acknowledge that the land on which we live and work is the unceded, traditional, and ancestral territory of the Coast Salish Peoples, including the territories of the xʷməθkʷəy̓əm (Musqueam), Sḵwx̱wú7mesh (Squamish), and səlilwətaɫ (Tsleil-Waututh) Nations. We operate EcoCooks School Online at elements.learnworlds.com (the "Platform"). This policy explains what personal information we collect through the Platform, why, and how we handle it, in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy law.
This policy covers information we collect from users of this Platform. The Platform is intended for adult users - currently, individual accounts are created by teachers and school staff, not students. If that changes in the future (for example, if a course opens directly to high-school-age students), this section and Section 8 below will need to be revisited to address minors' data specifically.
- When you create an account, we collect your name, email address, and login credentials. You may also choose to share additional details, such as your school or organization name, geographic location, and the grade level(s) you teach. Through your use of the Platform, we also collect usage information (which lessons you access, progress and completion data), feedback you submit through feedback forms, and standard technical data (IP address, browser type, device type) collected automatically by the Platform. We do not knowingly collect financial information, government ID numbers, or health information through this Platform.
We use this information to: provide you with access to the Platform and its courses; track your progress through lessons so you can pick up where you left off; respond to support requests and feedback; improve the program based on how it's used and what educators tell us (your usage and feedback directly shape future versions); occasionally contact you about updates to the program, unless you opt out; and help us demonstrate this program's reach and impact, including when seeking funding and grant support.
- We collect and use your information based on your consent, given when you create an account, and to the extent reasonably necessary to provide you with the Platform and respond to your requests.
- We don't sell your personal information. We share it only with LearnWorlds, our learning-platform provider, which hosts the Platform and processes data on our behalf, and with authorities, if required by law. We don't currently use any other third-party service providers for this Platform - video hosting and site functionality all run through LearnWorlds directly.
- We rely on the security measures provided by our Platform provider (LearnWorlds) and take reasonable steps to limit access to personal information to staff who need it to do their jobs.
- The Platform's course content is designed for students in grades 4–7, but based on how the program is delivered — projected to the whole class by a teacher, with no individual student devices needed — our understanding is that students do not create their own accounts or submit personal information directly through the Platform.
We retain account information for as long as your account is active, plus a reasonable period afterward for record-keeping, unless you ask us to delete it sooner.
You can ask us to access, correct, or delete the personal information we hold about you, or withdraw your consent to our use of it (which may limit your ability to use the Platform). To do so, contact us at online@elements-society.org. If you're not satisfied with our response, you can contact the Office of the Privacy Commissioner of Canada.
We may update this policy from time to time. We'll post the updated version here with a new effective date.
